Privacy Policy
How The Glow Clinic collects, uses and looks after your personal information — on this website, when you book, and when you come in for a treatment.
Last updated 1 September 2026
Who we are
The Glow Clinic is the data controller for the information described here. That means we decide how and why your information is used, and we are responsible for looking after it.
Our clinic is at 101 Atherton Road, Hindley, Wigan, WN2 3EE. For anything to do with your information, or to exercise any of the rights below, email us at enquiries@theglow-clinic.com and we will come back to you.
What we collect, and when
When you enquire through this website
Our enquiry form asks for your first name, phone number and email address, which treatments you are interested in, and optionally your surname and a message. We also record which page of the site you sent the enquiry from, so we know which of our adverts or pages brought you to us.
If you write something about your skin, your health or a medical condition in the message box, we will hold that too — see Health information below.
When you book an appointment
Bookings are taken through Fresha, a booking platform. When you book you give your details to Fresha directly, and we receive the booking. Fresha handles your information under its own privacy policy as well as ours.
When you come in for a consultation or treatment
Before your first laser treatment we carry out a consultation and patch test. During that we record information about your skin and hair type, relevant medical history, medications, allergies and anything that might affect whether a treatment is safe for you, along with a record of each treatment you have and its settings. We keep these records because we have to: they are what makes your next treatment safe, and our insurers require them.
When you use this website
Our website host keeps standard server logs, which include IP addresses, to keep the site running and secure. If you accept cookies we also collect pseudonymised information about how the site is used — see our cookie policy. We do not send your name, email address or phone number to Google or to Meta.
Why we use it, and our lawful basis
| What we do | Our lawful basis |
|---|---|
| Reply to your enquiry, call you back and answer your questions | Taking steps at your request before entering into a contract |
| Arrange and provide your treatment, and keep your treatment records | Performance of our contract with you, and our legal obligations around safe practice |
| Send you marketing emails about offers and treatments | Your consent, which you gave by ticking the box, and which you can withdraw at any time |
| Set analytics and advertising cookies, and measure our adverts | Your consent, given through the cookie banner |
| Keep records of bookings and payments | Our legal obligations, including to HMRC |
| Keep our website secure, and deal with any complaint or claim | Our legitimate interests in running the clinic safely and defending our position |
Health information
Information about your health, your skin and your medical history is what the law calls special category data, and it has extra protection. We only collect what we genuinely need in order to treat you safely, and we ask for your explicit consent on the consultation form before we record it.
We do not use health information for marketing, we do not share it with Google or Meta, and it is never sent to any advertising platform. It is kept in your treatment record and seen only by the practitioners treating you.
Who we share it with
We do not sell your information, and we never share it with anyone for their own marketing. We use the following providers to run the clinic and this website. Each of them acts on our instructions:
| Provider | What for | What they receive |
|---|---|---|
| Vercel | Hosting the website | Technical data such as IP address and browser type, in server logs |
| Resend | Sending the enquiry to the clinic, and your confirmation to you | Your name, email address, phone number, treatment interests and message |
| MailerLite | Our marketing email list, if you have consented to it | Your name, email address, phone number and treatment interests |
| Fresha | Taking and managing your appointment booking | Your booking details and the contact details you give Fresha directly |
| Google (Analytics) | Understanding how the website is used — only with your consent | Pseudonymised usage data. We do not send your name, email or phone number |
| Meta (Facebook and Instagram) | Measuring our advertising — only with your consent | Pseudonymised usage data. We do not send your name, email or phone number |
We may also share information where we are required to by law, or with our insurers and professional advisers if there is a complaint or a claim.
Information sent outside the UK
Some of the providers above are based outside the United Kingdom. Where your information is transferred outside the UK, we rely on the UK government's adequacy regulations for that country, or on the International Data Transfer Addendum to the standard contractual clauses, so that your information keeps the same protection it has here.
How long we keep it
| What | How long |
|---|---|
| Website enquiries that don't become clients | 24 months from your last contact with us, then deleted |
| Consultation and treatment records | 7 years after your last treatment, or until a client's 25th birthday if they were treated under 18 |
| Marketing email list | Until you unsubscribe, or after 24 months with no engagement |
| Booking and payment records | 7 years, to meet HMRC requirements |
Your rights
You have the right to:
- Ask what we hold about you, and get a copy of it.
- Have it corrected if it is wrong or incomplete.
- Have it deleted, where we do not have a good reason to keep it. We may have to keep treatment records for the period in the table above even if you ask us to delete them.
- Ask us to restrict what we do with it, or to object to us using it where we rely on legitimate interests.
- Ask for a portable copy of information you gave us.
- Withdraw your consent at any time — for marketing, by clicking unsubscribe on any email or emailing us; for cookies, through cookie settings. Withdrawing consent doesn't affect anything we did before you withdrew it.
To use any of these, email enquiries@theglow-clinic.com. We will respond within one month, and it is free.
Cookies
We set analytics and advertising cookies only if you accept them. Our cookie policy lists every cookie we use and lets you change your choice at any time.
If you are unhappy
Please tell us first, at enquiries@theglow-clinic.com — we would much rather put something right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we use your information we will update this page and change the date at the top. If the change is significant we will tell people on our mailing list directly.
